Invite Members

In the current workspace, Owners, Administrators, and custom roles with Member Management permissions can invite registered users of TrueWatch to become new members of the workspace.

Invitation Entry

  1. Go to Manage > Member Management > Invite Members;
  2. In the current window, enter the email address of the invited member and press Enter;
  3. Configure the member's role and team affiliation;
  4. Optionally set a remark for the member;
  5. Click "Confirm". This sends an invitation notification to the invited member for the current workspace. Once the member completes authentication, they can enter.

Through this entry, you can:

  • Invite multiple members simultaneously;
  • Select one or more roles to set permissions for the new member. You can also create custom roles for members via Role Management.

  1. In the current workspace's left navigation bar, click the "Invite Members" icon;
  2. Enter the email of the invited member;
  3. Configure the member's role and team affiliation;
  4. Optionally set a remark for the member;
  5. Click "Confirm". This sends an invitation notification to the member.

    • If the Settings > Invitation Approval button is not enabled in this workspace, the invited member can directly enter the workspace.
    • If enabled, you need to go to Manage > Invitation Records to process. By default, the member will not be added to any workspace and requires the workspace owner or administrator to approve the invitation.

Note

If the role assigned to the member during approval no longer exists, the member will be assigned the Read-Only Member role by default.

Invitation Records

Click "Invitation Records" in the "Invite Members" window or go to Manage > Invitation Records to view all invitation records for the current workspace. These records detail the invited member's email, assigned role, inviter, invitation time, and approval status.

Record List

On the Invitation Records page, the following operations are supported:

  • Filter by different statuses in the status bar at the top;
  • Search by nickname, name, or email;

  • Single Operation: In the operation column, you can approve or reject "Pending Approval" invitations;

  • Batch Operations: Click the icon next to the email to batch process "Pending Approval" invitations.

The meanings of different status values are as follows
Status Value Meaning
Pending Response The invitation has been sent, but the invited member has not yet applied to join the current workspace via the invitation link.
Pending Approval The invited member has applied to join a workspace and is waiting for approval;
⚠ Only in this state are approval operations supported.
Approved The approval is passed, i.e., the state after approval.
Rejected The approval is not passed, i.e., the state after rejection.
Expired Currently, the invitation link of TrueWatch is valid for 1 day. If the invited member does not apply to join before the link expires, the invitation record will display this status.
